Challenge EDI Terms and Conditions
Our terms and conditions apply whether events are in-person or remote. Please contact us if you would
like to discuss the platform for remote delivery. Any current platform being utilised with a Challenge
account is free for the events being delivered.
In-person training and other events:
Travel expenses will be charged on all engagements outside of the M25 belt. Rail travel will be charged
at the ‘Anytime’ fare as stated by National Rail. Air travel will be charged at: Economy rates to locations
in the Common Travel Area and the EU; Premium Economy for mid-range flights outside of the EU and
Business Class for Long-Haul flights. Car travel will be charged at 45p per mile. There will be an additional
charge for a mid-range hotel if required, the cost of which may vary according to the time of year.
Challenge will endeavour to keep all costs to a minimum and is happy to discuss this with you.
In-person may incur additional travel fees to enable trainers, coaches and facilitators to avoid public
transport if there is considered to be a risk
The Client Organisation will be responsible for providing all necessary equipment required for the course,
and the provision of a suitable accessible training venue (unless otherwise agreed in writing with
Challenge Training and Consulting Limited)
The fees shown assume that the client will be printing any course materials required for training courses or
other events. Where course materials are copied by Challenge Consultancy Limited, these will be
charged for per participant in accordance with the current scale of fees (available on request)
Fees and delegate numbers
The fees for services provided by Challenge Training and Consulting Limited stated on the booking confirmation are
subject to the addition of VAT at the rate in force at the time of Invoicing.
Invoices are due for payment within 14 days of invoice date. Invoices unpaid after 60 days of the invoice
date may be subject to an additional surcharge of 5% of the invoice total.
The fee shown is per trainer or consultant. For training events, it assumes one trainer working with a
minimum of six and a maximum of eighteen delegates, unless previously stated by Challenge. This can
be amended by agreement and depending on the format of the training session.
Failure to provide a minimum of six delegates may result in the cancellation of the course and the client
will be charged the full agreed fee. An additional surcharge will be levied should the participant group
exceed the maximum number agreed.
Cancellation and postponement of bookings by the client will result in charged as follows:

Within 15 - 30 days prior to date of engagement* 50% of full fee
Within 8 - 14 days prior to date of engagement* 75% of full fee
Within 0 - 7 days prior to date of engagement* 100% of full fee
*If a booking is cancelled by the client within 30 days full reimbursement will be required for any non-
refundable travel or other expenses.
The full fee will also be applicable if engagements are cancelled on the day due to unusual
circumstances or events, such as adverse weather, but where the trainer is still able to attend.
Where the trainer is unable to fulfil an engagement, Challenge Training and Consultancy Limited will endeavour to
provide a suitable alternative trainer. If this is not possible, the course fee will be waived, and Challenge
will reschedule the event at a date convenient to the client.
Other terms
Where a written report is requested by the client following training, facilitation, mediation or consultancy,
this will be charged in accordance with the current scale of fees.
On any subsequent engagement of a trainer initially supplied by Challenge, where the subsequent
engagement is not made through Challenge, the client will be liable to pay Challenge a surcharge of
25% of the agreed fee, which will be invoiced by Challenge, in addition to any fee payable direct to the
trainer.
Any additional terms stated in any proposal relating to this booking, form an integral part of these terms
and conditions.
The full fee will also be applicable if engagements are cancelled on the day due to unusual
circumstances or events, such as adverse weather, but where the trainer is still able to attend.
